1. Who we are
Romantic Cabin Escapes is a sole trader business operating two self-contained cabins in the Barrington Tops, NSW. Our business address is Lot 7 / 1953 Chichester Dam Road, Bandon Grove, NSW 2420. You can reach us about anything in this policy — including requests to access or correct your information, or to make a privacy complaint — at info@romanticcabinescapes.com.au.
This policy describes how we collect, use, disclose and protect your personal information. It is written to reflect the Australian Privacy Act 1988 and the Australian Privacy Principles (APPs).
2. What personal information we collect
We only collect information we actually need to run the business and look after your booking:
- Booking details— your name, email address, phone number, the cabin you’re staying in, your arrival and departure dates, and the number of guests.
- Payment details — you enter these directly with Stripe on their secure checkout page. We do not see or store your card number.
- Contact form submissions — your name, email, and the content of your message.
- Website analytics — your IP address (in a truncated form), device and browser information, pages visited, and how you arrived at our site. This is collected automatically via Google Analytics cookies.
- AI chat assistant (Puck)— messages you voluntarily type into the chat widget. We don’t require or collect your name, email, or any identifying details to use it. The page you were on when you opened the chat is not recorded.
3. How we collect it
We collect information directly from you when you make a booking, submit the contact form, or email us. We also collect some information automatically as you use the site, through analytics cookies and embedded third-party content.
4. Why we collect it
We use your information to:
- Take and manage your booking and communicate with you about your stay.
- Process payment securely.
- Respond to enquiries you send us.
- Understand how our website is used so we can improve it.
5. Who we share it with
We share your information only with the third-party services we need to run the site and the booking process. The table below lists every current recipient, what data they receive, and where they store it.

We do not sell your personal information, and we do not share it with any party for marketing purposes other than the services listed above.
6. Overseas disclosure
As the table above shows, some of the third parties we use store data outside Australia. By making a booking or using the site, you acknowledge that your information may be disclosed to recipients in the countries listed, and that those recipients are subject to the privacy laws of their own jurisdictions rather than the Australian Privacy Act.
7. Cookies and analytics
We use Google Analytics to measure how many people visit the site and which pages they look at. This uses cookies set in your browser. You can disable or delete cookies through your browser settings — the site will still work if you do.
8. AI chat assistant (Puck)
The site offers an AI chat widget, branded “Puck”, that answers questions about the cabins and the area using Claude Haiku by Anthropic. Messages you send are transmitted to Anthropic for processing, logged by us in an anonymised form (no IP, no identity) for service review, and summarised in a daily email to the site owner. The chat does not require a login, does not store cookies beyond a session identifier, and should not be used to share sensitive personal information.
9. How we store and protect your information
Booking records are stored by Smoobu, our property management system. Payments are handled by Stripe — we never see or store your card details. We take reasonable steps to protect the information we do hold from misuse, loss, and unauthorised access.
10. How long we keep it
We keep booking records for as long as we need them to administer your stay, meet our tax and accounting obligations, and handle any follow-up. Contact form emails are kept in our inbox until they are no longer needed. Analytics data is retained according to Google Analytics’ default settings.
11. Your rights
You can ask us to show you the personal information we hold about you, or to correct it if something is wrong. You can also make a privacy complaint if you think we have handled your information incorrectly. All requests go to info@romanticcabinescapes.com.au, and we will respond in a reasonable time.
If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
12. Children
Our accommodation and website are intended for adults. We do not knowingly collect personal information from anyone under 16 years of age.
13. Changes to this policy
We may update this policy from time to time as our site or the services we use change. The “Last updated” date at the top of the page always reflects the most recent version.
